Adding Details: Attributes & Tags

After you’ve captured the basic information for your new item, the next step is to add the rich details that make your inventory truly powerful and searchable.

1. Write a Description

The first field on this screen is the Description. This is the perfect place to add a short paragraph with any important notes, history, or identifying information about the item.

  • Good Example: “Purchased in 2023. Has a small scratch on the top-left corner. Used in the ‘Starlight’ production.”
  • Bad Example: “laptop”

2. Add Tags

Tags are like keywords that make your items easy to find. You can add as many as you like. Think about how you or your teammates might search for this item in the future.

To add a tag:

  1. Type a word or phrase into the Item Tags field.
  2. Press Enter or select a suggested tag from the list.

Ritchie’s Tip: Be consistent with your tags! For example, decide if you’re going to use “prop” or “props” and stick with it. This makes searching much more reliable for everyone on your team. Common tags could include the item’s color, material, or the project it belongs to.

3. Fill Out Attributes

Attributes are custom data fields that are specific to the team you assigned the item to. Your organization’s administrator sets these up. They ensure that you capture consistent, structured information for every item of a certain type.

  • Examples: An “Electronics” team might have attributes for Serial Number and Purchase Date, while a “Costumes” team might have Material and Size.
  • Required Fields: Some attributes may be marked as required. You won’t be able to save the item until these are filled out.

4. Save Your Item

Once you’ve added all the necessary details, click the Add Item button at the bottom of the screen. You’ll see a success message, and your new item will be officially logged in Space!

You can now find it using the Search page.
