Here are answers to some common questions and issues that may arise while using Space.
Q: An item isn’t appearing in my search results. Why?
A: This usually happens for one of a few reasons:
- Check for Typos: The most common reason is a simple typo in your search query.
- Search Different Terms: The item might have been named or tagged with different words than you’re searching for. Try searching for a broader term or a different tag.
- Check Filters: Make sure you don’t have an active advanced filter (like a Location filter) that is excluding the item from your results.
- Confirm It Exists: It’s possible the item was deleted. Check with your team’s administrator if you suspect this might be the case.
Q: Why can’t I edit or delete another user?
A: Permissions in Space are based on a hierarchy of roles. You can only edit users who have a role with less authority than your own. You cannot edit users who have the same role as you or a higher one (e.g., an Organization Admin
cannot edit another Organization Admin
or the Organization Owner
). You also cannot edit yourself from the User Management screen; you must do that from your own Profile Settings.
Q: Why can’t I change an Attribute’s “Data Type”?
A: The Data Type for a Custom Attribute is locked at the moment it’s created. This is a critical feature to ensure data integrity.
For example, if an attribute is set to integer
(a whole number), the system prevents anyone from entering text like “about five”. If we allowed the type to be changed to text
later on, all the existing numeric data could become inconsistent and cause errors in search and filtering. To change a data type, you must delete the old attribute and create a new one.
Q: I accidentally marked an item as “Lost.” How do I fix it?
A: No problem! Just navigate to the item’s detail page. The problem management sheet will now have an option for Found Item. Click this, assign the item to its correct location, and the “missing” tag will be removed. For more details, see Editing and Managing an Item.
