Welcome! We’re thrilled to have you. Space is designed to bring clarity and simplicity to the often chaotic world of managing physical items. Whether you’re tracking props for a theater, equipment for a studio, or assets for your office, Space provides a single source of truth for your entire team.

Our goal is to help you answer the important questions quickly:

  • What do we have?
  • Where is it?
  • Is it available?

Before you dive in, let’s get familiar with a few core concepts that make Space work. Understanding these will help you get organized in no time.

The Core Concepts

Everything in Space revolves around four key ideas. Think of them as the building blocks of your inventory.

1. Items

An Item is any individual physical object you want to track. It’s the most fundamental piece of your inventory.

  • What it is: A specific laptop, a particular costume, a single chair, or a unique piece of equipment.
  • What it has: Each Item has a name, a photo, a current location, a descripton, identifying tags, and can have custom data fields called Attributes.

2. Locations

A Location is a physical place where an Item can be. Locations can be nested inside each other to create a clear hierarchy, just like in the real world.

  • What it is: A building, a room, a closet, a shelf, or even a specific bin.
  • Example: The Warehouse > Prop Storage > Shelf A1

3. Collections

A Collection is a flexible way to group related Items together, even if they are in different Locations.

  • What it is: A virtual folder for your items.
  • Example: You could create a Collection called “Sci-Fi Movie Props” that includes a laser pistol from Shelf A1 and a space helmet from the Wardrobe Closet.

4. Allocations (The Ledger)

An Allocation is a record of when an Item is reserved or used for a specific purpose, like an event, a project, or a sale. All your allocations are tracked in the Ledger.

  • What it is: A reservation or a transaction history for your items.
  • Example: You can create an Allocation for “The Grand Coronation” event and add all the required props and costumes to it. Space will show you if any of those items are already booked for something else.

Ritchie’s Tip: Don’t worry about getting everything perfect right away! The best way to learn is by doing. Start by adding your first item and you’ll get the hang of it quickly.
